I’ve worked on various projects with different scopes and complexities, and along the way, I’ve come across several tools that help capture requirements, run workshops, and organise user stories. Here are my top three go-to tools that have significantly improved my workflow as a Business Analyst.



1. Azure DevOps — The Ultimate Backlog & Sprint Management Tool
I primarily use Azure DevOps (ADO) for managing product backlogs in agile projects. It helps with organising user stories, sprint backlogs, and working closely with developers and operations teams to deliver working functionality.
Why I Use It:
- End-to-end traceability to track user stories from inception to completion.
- Customisable to fit both agile and waterfall project methodologies.
- Works seamlessly with Jira, MS Teams, Slack, and ServiceNow, making it easier to collaborate with business stakeholders unfamiliar with ADO.

2. Mural — The Go-To White-boarding & Collaboration Tool
Mural has become an invaluable tool for design thinking workshops, stakeholder engagement, and brainstorming sessions. It allows teams to visually map out ideas, explore complex challenges, and drive alignment.
Why I Use It:
- Cloud-based and accessible anywhere, even without an account.
- Offers pre-built templates, including BPMN diagrams, customer journey maps, and flowcharts, for structured discussions.
- Interactive and real-time collaboration makes it easy to engage both business and technical teams.
My Favourite Feature:
The decision-making functionality enables teams to vote on solutions, prioritise tasks, and align on business priorities — making it a game-changer for workshops and retrospectives.
3. Visio — The Best for Process Modelling & Data Visualisation
Microsoft Visio is my go-to for process modelling and data migration projects. While it’s widely known for As-Is and To-Be process flows, I’ve also found it useful for Entity-Relationship Diagrams (ERDs) and Data Flow Diagrams (DFDs) when working on system migrations.
Why I Use It:
- Ideal for mapping workflows and process improvements.
- Helps define database structures and relationships in migration projects.
- The RACI matrix makes it easy to define roles and responsibilities for stakeholder alignment.
My Favourite Feature:
The ability to export diagrams into PDFs and PNGs while integrating with MS Teams, Jira/Confluence, and Slack — making collaboration effortless.
Final Thoughts
There are plenty of other tools I’ve used, but these three have been the most reliable due to their versatility, ease of collaboration, and powerful integrations. Whether it’s managing agile sprints, running workshops, or mapping complex processes, these tools have made my work as a Business Analyst much smoother.
